How the AI understands a plumbing call

The model identifies conversational intent and extracts candidate facts. The application then verifies what can be verified. A ZIP tool returns eligible, ineligible or unknown. A service lookup returns the company’s actual approved offering. An emergency policy combines explicit hazard signals with the owner’s rules. A lead tool refuses malformed or cross-tenant data.

This separation matters. A confident sentence from a model is not evidence that a service is offered, a transfer connected or an appointment exists. The caller hears confirmation only after the responsible system returns success.

What happens when the call is uncertain

  • Low-confidence names, phone numbers, addresses and ZIPs are repeated for confirmation.
  • An unknown service area becomes a callback request, not an invented “yes.”
  • A failed transfer is stated as a failed connection and triggers the configured fallback.
  • An unconfirmed time remains an appointment request.
  • Unsupported or unsafe repair questions receive a boundary and a business-approved next step.

Plumbing emergency handling

“Emergency” is not a marketing label. Reports involving gas, fire, electrical danger, immediate personal danger or severe flooding enter a restricted branch. The receptionist uses approved wording and the configured transfer or emergency-services response. It does not diagnose the source or tell the caller what to dismantle, disconnect or repair.

Owner control and review

Published receptionist configurations are versioned. A call retains the exact version it used, so a later edit does not rewrite history. The business can review the intent, urgency, structured facts, transfer timeline, summary and the tools the AI called. Recording is separate, off by default until consent rules are approved, and governed by a retention date.

Where humans remain essential

Dispatchers still resolve ambiguous scheduling, customer history, pricing exceptions and service judgment. Plumbers still diagnose and perform the work. Owners still approve business facts, emergency rules, transfers, hours, pricing and retention. The product removes repeated first-response work; it does not remove accountable human decisions.

Does the caller know it is an AI receptionist?

The final disclosure wording is configured and reviewed before launch. The product must not misrepresent the system or use a fake personal identity.

Can the AI change our business information?

No. Extracted or suggested facts require owner approval. The live receptionist reads from a published, versioned configuration and cannot edit its own knowledge.

What happens when it does not understand?

It asks for clarification, captures a minimum callback message or follows the configured human fallback. It must not invent a ZIP result, transfer or booking.

Can we review what it did?

Each call records its outcome, tools used, structured facts, transfer state, transcript policy and usage. Sensitive access and retention are role-controlled.
